Store it securely in two locations.

Original, copy, translation

Do not merge these concepts:

  • Original: document issued by the institution
  • Copy: reproduction of the original
  • Certified copy: copy formally confirmed as matching the original
  • Translation: language version
  • Certified translation: translation prepared or certified for official use
  • Legalisation: confirmation of document authenticity where required

Passport validity

Residence authorities may consider passport validity when determining the permit period. Renew a passport early if it will expire during the intended study year.

Criminal-record certificate

A first temporary-residence application may require a certificate from the criminal records of the home country. Check:

  • How recent it must be
  • Whether translation is required
  • Whether legalisation is required
  • Whether an original is required

Do not hand over originals casually

Ask for a receipt when an authority keeps an original. Carry originals to appointments, but keep scans and certified copies.

Data protection

Do not upload passport copies to unverified landlords, social-media profiles, or unknown intermediaries. Watermark a copy where appropriate with the purpose and date, unless an official authority requires an unaltered copy.
